How to build an equipment inventory you can maintain

Before buying or searching for equipment, know what you have, where it is and what condition it is in.

Before you start

This guide is for equipment, instruments and furniture used by a small group. It is an operational record: it does not calculate depreciation, issue certificates or replace a technical inspection.

Define the spaces to check and a cut-off date. Divide your route into areas such as the main hall, storage and meeting rooms. Assign different areas to different counters to prevent duplication.

1. Use one row for each comparable group

Assign a stable code and describe the item. You can group identical units if they share a location, condition and unit value. Start a separate row when one of those changes.

If five microphones are in good condition in storage and one is being repaired, do not record all six as Good. Use two rows. For equipment needing individual tracking, use one code per unit and a quantity of 1.

2. Record what you checked

Record code, item, category, location, quantity, condition, unit value and person in charge. Use Notes for the check date, discrepancies and next action. Count the items physically instead of copying an old quantity without checking.

Use one currency and state what the value represents, such as an internal replacement estimate. If a value is unknown, flag it in Notes. An empty value may contribute zero to a summary; it does not prove the item has no value.

3. Separate condition, quantity and value

Fictional example, using reference currency units:

Fictional example · one reference currency
CodeItem / conditionQtyUnit valueTotal
M-01Microphones / Good540200
M-02Microphone / In repair14040
S-01Chairs / Good825200

5 × 40 + 1 × 40 + 8 × 25 = 440 recorded value
3 rows represent 14 physical units.

The unit In repair remains part of that total. The record does not say all 14 units are available for use. Check condition to assess availability; total value is not a ready-to-use equipment list.

The spreadsheet has one condition field. For borrowed equipment, use On loan and record physical condition, internal borrower and expected return date in Notes. It does not provide automatic reminders or a loan history.

4. Close the count and schedule a review

Check for duplicate codes, negative quantities, vague locations and items without an owner. If something is missing, record the discrepancy and who will investigate; do not delete its row just to make the summary match.

After an item moves, update location and condition. Before a new purchase, review existing stock and pending repairs. Keep a dated copy of the inventory when each review is complete.

Inventory review checklist

  • Every area on the counting route checked.
  • Stable codes and verified quantities.
  • Separate rows for different locations or conditions.
  • One currency and a documented valuation basis.
  • Unknown values and discrepancies flagged.
  • An owner and next action for every pending item.

Use Print in your browser to take the checklist with you.
